EpicPay Loyalty – Terms & Conditions

These Terms & Conditions (“Agreement”) apply to all clients (“you”, “your”, or “the Client”) who engage Epicware Pte Ltd (“we”, “our”, or “Epicware”) to implement and use the EpicPay Loyalty platform for retail and F&B businesses.
By proceeding with onboarding or using any part of our solution, you agree to the following terms.
1. Scope of Solution
EpicPay Loyalty
is a customer engagement platform built to help small and medium-sized retail and F&B businesses increase revenue and repeat customer visits. The solution includes:
- Account setup, configuration, and onboarding support
- Loyalty engine: Cashback, Points, Vouchers, Milestone Rewards
- AI-driven CRM with customer profiling and analytics
- Email, SMS, and WhatsApp marketing automation tools
- Receipt reading and customer behavior insights
- Access to reporting dashboard and campaign manager
- 12-month standard support
Optional add-ons (if selected):
- WhatsApp AI Chatbot (for reservations and FAQs)
- Spin the Wheel / Jackpot gamification system
- Automated offer engine for visit reminders, voucher triggers, and seasonal campaigns
2. Fees & Payment Terms
- Pricing is provided on a per-client basis depending on modules selected and business complexity.
- Hosting fees, Add ons, TopUps (if applicable) are billed separately on a monthly basis
- All fees are exclusive of GST
3. Client Responsibilities
Clients agree to:
- Completeonboarding form
- Provide necessary business, catalog, and branding data during onboarding
- Review and approve content and integrations in a timely manner
- Assign a key representative as point-of-contact for communication and decisions
4. Support & Maintenance
- Epicware provides standard support Monday to Friday, 10AM–6PM (SGT)
- Email Support includes:
- Bug fixes
- Technical troubleshooting
- Feature enhancements or custom requests may be subject to additional fees.
5. Data Ownership & Privacy
- All customer and campaign data belongs to the client & Epicware.
- Epicware will not share or sell client or customer data to any third parties
- We adhere to thePersonal Data Protection Act (PDPA)of Singapore.
6. Intellectual Property
- The EpicPay platform, modules, and underlying systems remain the intellectual property of Epicware Pte Ltd
- Clients are granted a non-exclusive, non-transferable license to use the platform during the service period
7. Termination & Suspension
- Either party may terminate the service with 30 days’ written notice
- Upon termination, platform access will be revoked and any outstanding payments will be due
- Epicware reserves the right to suspend services in the event of non-payment or misuse
8. Limitation of Liability
- Epicware’s liability shall not exceed the total amount paid by the client for the service
- Epicware shall not be held liable for any indirect or consequential loss arising from use of the solution
9. Governing Law
This Agreement shall be governed by and construed under the laws of the Republic of Singapore.
